Folder Access Rules

Creating a New Folder

You can create a new folder directly from the folder switcher menu.

To create a new folder:

  1. Click the folder dropdown at the top of the left sidebar.
  2. Select New folder from the menu.
  3. Enter your folder name in the pop-up window.
  4. Click Submit to create the folder.

Notice

Viewers cannot create new folders. Contributors can create folders, but they cannot make a folder public. For more details on role definitions, refer to Manage Members and Roles.

After the folder is created, you can manage who can access it using the Manage access option. Folders can be shared with different levels of visibility depending on your needs. When you click Manage access, you can choose one of the following access modes:

  • Anyone in the project – Everyone in your project can view this folder. Only users with the proper role can edit or manage it.
  • Private – Only you can view and manage this folder. Others will not see it in their workspace.
  • Specific people – Only selected users in your project will be able to access this folder. You can assign their roles individually.

These settings determine who can see the folder. Folder actions (such as adding threads or moving items) still depend on each person’s role (Owner, Contributor, Viewer).

User Roles

  • Owner – Has full control over all project items and settings.
  • Contributor – Can create and edit threads, models, dashboards, and spreadsheets, but cannot manage members or project settings.
  • Viewer – Can view all settings, members, models, and knowledge. Viewers can also create and edit dashboards and spreadsheets.

Your workspace contains different content types—folders, spreadsheets, dashboards, and threads. Each type supports different actions, and your role determines what you can view, edit, or manage.

How It Works

Permissions are applied per item. Depending on your role, some actions may be fully available, limited, or hidden entirely. The sections below outline what each role can do.

Action Limitations & Edit Protection

  • Restricted actions may be hidden or disabled in the UI.
  • Concurrent editing protection:
    • If someone edits a spreadsheet while you're editing, you’ll be prompted to refresh to avoid conflicts.
    • Threads may temporarily lock if multiple users reply at the same time.
